Privacy Policy
This privacy and cookie policy was last updated on 3 November 2026
At incepra® B.V. (hereinafter: "incepra®"), we handle your personal data with care. Through our website www.incepra.com, we offer a web shop and a members’ environment. In this privacy statement, we explain which personal data we process about you, why we do so and how long we retain it.
Our privacy and cookie policy in brief
Your privacy is of great importance to us. We therefore comply with the General Data Protection Regulation (GDPR). This means that we:
- Record our purposes before we process your personal data, as set out in this privacy and cookie statement.
- Store as little personal data as possible and only the data necessary for our purposes.
- Ask for explicit consent for the processing of your personal data, should consent be required.
- Take the necessary security measures to protect your personal data. We also impose these obligations on parties who process personal data on our behalf.
- Respect your rights, such as the right of access, rectification or erasure of your personal data processed by us.
For what purposes do we use your personal data?
We obtain various personal data from you. We specify for each purpose what data we obtain from you, for what purpose we process these data and for how long they are stored. If you have any questions or would like to know exactly what information we store about you, please contact us. Our contact details are mentioned at the bottom of this privacy statement.
Account and ordering
incepra® operates with one account. You log in with a one-time code sent to your email address. Through your account you order, pay and manage your subscription; with an active subscription you also have access to the members’ environment with content relating to our life themes. Below, we explain which personal data we process for this.
Account
This account allows you to place orders, manage your subscription, and view your order history. With an active subscription, this account also gives you access to the members’ environment. We use Shopify for this purpose, with whom we have entered into a data processing agreement. Creating an account is available to all our customers.
When you create an account, we use your personal data to perform the agreement with you and to manage your account correctly, including your access to the members’ environment. For optional data you choose to add, we ask for your consent before processing it.
For this purpose, we process the following personal data:
- First and last name
- Address details (street, house number, postcode, city, country)
- Email address
- Telephone number (optional)
- Date of birth (optional)
- Questionnaire responses (optional)
- Order details (including order number, products ordered, delivery status, and tracking number)
- Payment details (payment method and, where applicable, bank account details)
- Invoice details
We retain this data for as long as your account is active. Order and payment data is retained for 7 years under the statutory fiscal retention obligation. After your account is deleted, your remaining data is removed within 30 days. Would you like your account to be deleted? Please send an email to care@incepra.com.
We operate an inactivity policy: if your account has been continuously inactive for more than 2 years, we will send you an email asking you to confirm whether you wish to keep your account. If you do not respond within 30 days, we will delete your account and the personal data stored in it, unless a statutory retention obligation prevents us from doing so.
Completing the questionnaire
Through our website, you can complete a questionnaire. The questionnaire covers your daily habits and lifestyle and helps you choose the Life Theme that suits you best. The answers you provide contain information about your health or wellbeing. Under the GDPR, such data is classified as special category personal data, which is subject to stricter rules. We therefore process it only after you have given us your explicit consent to do so.
How does it work?
After completing the questionnaire, you will see your results on screen straight away and can download them as a PDF. You can also choose to receive your results by email. If you do, you can also indicate that you would like your answers and results to be stored. You give separate consent for each option by ticking a box. Storage is only possible in combination with receiving your results by email. If you choose neither option, we do not store anything you have entered.
If you wish to stop completing the questionnaire at any point, you can leave the page at any time. Any answers you have already entered will not be saved.
Option 1: receiving your results by email
If you tick this box, we create a document with your results based on your answers and send it to the email address you provide. The document contains the date on which you completed the questionnaire, but no name or other details by which you can be directly identified.
If you choose only this option, we do not store any data. Immediately after the email has been sent, we delete your answers, the document and your email address on our end.
Option 2: storing your results in your Account
If you have chosen to receive your results by email, you can also tick this box. We will then store your answers and results so that you can view them later in your Account. To do so, we link them to your email address. The data is stored with Shopify, with whom we have entered into a data processing agreement. Your answers are secured there to the same standard as the rest of your account data.
Do you already have an Account with this email address? Then your answers and results will be visible in your Account straight away. We retain them for as long as your Account exists, or until you withdraw your consent. The inactivity policy described under Account applies.
Do you not have an Account yet? Then we retain your answers, results and email address for a maximum of 2 years after you completed the questionnaire. If you create an Account with the same email address within that period, they will become visible in your Account and the retention periods for an Account will apply from that moment. If you do not create an Account within 2 years, we will delete the data.
For this option, we keep a record of your consent, so that we can demonstrate that you gave it. This record contains your email address, the time of your consent, the choices you made and the version of the consent text. We retain this record for as long as your answers and results: for as long as your Account exists, or for a maximum of 2 years if you do not create an Account.
Withdrawing consent
You can withdraw your consent to the storage of your answers and results at any time by sending an email to care@incepra.com. This is also possible if you do not have an Account. Once withdrawn, we will immediately stop any further processing and delete your stored answers and results. Withdrawing your consent does not affect any processing that took place before the withdrawal.
For the sending of your results by email, withdrawal after the fact is not possible. The email will already have been sent and will be in your own email environment.
Access to your answers
Your stored answers and results are only visible in your personal Account. We do not use them for any other purpose, such as marketing or profiling.
Contact and customer service
When you send us an email, call us, or contact us in any other way, we process the data you share with us. The legal basis for this processing depends on the nature of the contact:
- If you contact us about an order or subscription: performance of the agreement
- If you contact us with a general enquiry or complaint: our legitimate interest in being able to assist you as effectively as possible
Our customer service is partly supported by our partner Byteleader, with whom we have entered into a data processing agreement.
For this purpose, we process the following personal data:
- First and last name
- Email address
- Telephone number (for callback requests)
- Any information you include in the content of your message
We retain this data for a maximum of 2 years after the last contact, unless the content relates to an order. Where the contact concerns an order, we retain the relevant order and invoice data for 7 years under the statutory fiscal retention obligation.
Subscribing to the newsletter
If you subscribe to our newsletter through the website, you will receive information about our products, offers, and tips on the basis of your consent. We may also inform existing customers about our products and services without prior consent, provided they did not object at the time of purchase. You can unsubscribe at any time via the link at the bottom of every email.
We send our newsletter via Klaviyo, with whom we have entered into a data processing agreement.
For this purpose, we process the following personal data:
- First and last name

We retain this data for as long as you remain subscribed. After you unsubscribe, we remove your email address from our active newsletter distribution list.

International transfers of personal data
Where some of our suppliers are based outside the European Economic Area ("EEA"), we put appropriate safeguards in place to protect your privacy when sharing your personal data with those parties.
The European Commission has issued adequacy decisions for a number of countries. These decisions allow personal data to be transferred safely from the EEA without additional measures. For parties based in the United States, the EU-US Data Privacy Framework serves as an appropriate safeguard, provided the party in question participates in it.
Where we share data with parties in countries that do not benefit from an adequacy decision and do not participate in the EU-US Data Privacy Framework, we put additional measures in place in the form of standard contractual clauses ("SCCs").
Where we transfer your personal data on the basis of SCCs, you have the following rights:
- to request information about the transfer, including a copy of the SCCs;
- to contact both us and the receiving party for information;
- to lodge a complaint with the Dutch Data Protection Authority (AP), a competent court within the EEA, or an independent dispute resolution body;
- to claim compensation in the event of a breach of the SCCs.
These rights exist alongside your general privacy rights under the GDPR.
